Property & Deed Counter - Instructions

What This Does

Searches through your client folders and counts unique properties you've protected by: - Finding all deed files (Warranty Deed, Quit Claim, Special Warranty, etc.) - Intelligently deduplicating (knows "489 Fretz.pdf" and "489 Fretz Notarized.pdf" are the same property) - Extracting states from the deed documents - Generating statistics for marketing

Output You'll Get

How to Use

Step 1: Install Python & Library

Same as the Series LLC counter:

``` pip install PyPDF2 ```

Step 2: Copy Script to Clients Folder

Copy `count_properties.py` into your main clients folder

Step 3: Run the Script

Windows: 1. Hold Shift + Right-click inside your clients folder 2. Choose "Open PowerShell window here" 3. Type: `python count_properties.py` 4. Press Enter

Mac: 1. Open Terminal 2. Type: `cd ` (with space) 3. Drag your clients folder into Terminal 4. Press Enter 5. Type: `python count_properties.py` 6. Press Enter

Step 4: Review Results

The script will: - Show progress every 500 PDFs - Display each unique property found - Mark duplicates with "≈ Duplicate:" - Save detailed report to text file

How It Deduplicates

The script is smart about duplicates:

Recognizes as SAME property: - "816 E 6th.pdf" vs "816 E 6th Final.pdf" - "489 Fretz.pdf" vs "489 Fretz Notarized.pdf" - "Transit Road Deed.pdf" vs "Transit Road Deed Signed.pdf"

Recognizes as DIFFERENT properties: - "375 Triad # 9.pdf" vs "375 Triad # 27.pdf" (different unit numbers) - "489 Fretz.pdf" vs "495 Fretz.pdf" (different addresses)

What Files It Finds

The script looks for files containing: - "Deed" - "Warranty Deed" - "Quit Claim" - "Quitclaim" - "Special Warranty" - "General Warranty"

Excludes files like: - Agreements (unless explicitly a deed) - Leases - Invoices - POA documents

State Identification

The script extracts states by reading the PDF content and looking for: - "State of Texas" - "County, Texas" - ZIP codes with state abbreviations - Common deed language patterns

What You Get

1. On-screen summary: - Total unique properties - Breakdown by state - Marketing statistics

2. Detailed text file: - Complete list of all properties - Organized by state - File paths for verification

3. Marketing stats: - Rounded numbers (e.g., "300+" instead of "327") - State count - Professional formatting

Use in Marketing

After running, you can say:

Troubleshooting

Finding too many/few properties: - Check the detailed report file - Verify deed files are actually deeds - Look for files marked as duplicates

State shows as "Not Identified": - Normal for some files - The deed might not have clear state language - You can manually check those files

Script is slow: - Normal - reading PDFs takes time - Progress shown every 500 files - Go get coffee ☕
